Terms and Conditions
Last updated:
Welcome to Racebeats (accessible at https://racebeats.com), a platform operated by SIA RACEBEATS, a company registered in Latvia (registration number: 40203648399). By accessing or using our platform, you agree to be bound by the following Terms and Conditions.
If you do not agree to these Terms, you may not use Racebeats.
1. Platform Overview
Racebeats is a platform for cycling events and challenges. Approved event organizers publish events and challenges, and athletes can discover them and register to take part. With your permission, Racebeats reads your Strava activity data to generate performance statistics, produce event results and rankings, and verify results. Organizers can operate as part of an organization (team) with multiple members.
2. Eligibility and Registration
To use Racebeats, you must:
- Be at least 16 years of age (or the applicable minimum age in your jurisdiction).
- Create an account using one of our sign-in methods: your Strava account, your Google account, or an email address and password.
- Provide profile information such as your name, date of birth, gender, country, team affiliation, phone number, and email.
By creating an account, you confirm that all information you provide is accurate and up to date.
3. Accounts and Security
You are responsible for your account and for activity that happens under it:
- Keep your login credentials confidential.
- If you register with an email address and password, you may need to verify your email before some features become available.
- You can review and sign out of your active sessions at any time.
- To protect accounts, we may rate-limit sign-in attempts, temporarily lock accounts, or alert you about sign-ins from new locations.
4. Organizers and Organizations
Only approved event organizers may publish events. Organizers are approved after a personal interview with the Racebeats team. An organizer can create an organization and invite other members, who may hold owner, admin, or member roles.
Organizers are responsible for their events and challenges, including event content, pricing, participant communications, refunds, and compliance with applicable law. Where an organizer receives participant data, the organizer acts as an independent controller of that data.
Organizers who take payments through Racebeats also agree to the additional terms in section 9.
5. Events and Participation
When you take part in events on Racebeats:
- You can register for an event and, where offered, a specific distance.
- Each booking can hold one result.
- Organizers may approve, reject, or cancel registrations.
- Organizers may run participant check-in and issue finisher certificates that display your name and result.
6. Pricing and Fees
Racebeats is free to use for participants and organizers: we charge no commission on registrations and no subscription, setup, or listing fees. Many events are free; for paid events, the organizer sets the price. If we ever introduce a fee, we will tell you before it applies to you.
What participants pay
For a paid event, you pay:
- The price the organizer sets for the distance you choose. Prices can change over time (for example, an early-bird price that ends on a set date or after a set number of registrations), and you pay the price shown at checkout.
- Less any discount from a coupon issued by the organizer. A coupon cannot reduce a paid registration below €0.50, the smallest card payment Stripe accepts.
- Plus any donation you choose to add at checkout: to Racebeats and, where the organizer has turned this on, to the organizer or a cause they name. Donations are optional and limited to €100 each.
Racebeats adds no booking or service fee. All prices are in euros (EUR).
What organizers pay
- Stripe's processing fee on each payment, at Stripe's rates for the organizer's country (see Stripe's pricing). Stripe deducts it from the payment itself; Racebeats adds nothing to it and takes no part of it.
- Stripe's dispute fee, if a participant's bank opens a chargeback (see section 8).
- An optional platform contribution. For each event, an organizer may choose to support Racebeats with a contribution on every paid registration: a percentage of the registration price (after any coupon) or a fixed amount. It is off by default, comes out of the organizer's share, and never raises the price participants pay.
What Racebeats receives
Racebeats receives money from a payment in only two cases:
- the organizer's platform contribution, if they set one; and
- a donation to Racebeats, if the participant adds one.
Racebeats covers Stripe's fee on donations made to it. Because the whole payment is processed on the organizer's Stripe account, Stripe takes that fee from the organizer, so Racebeats leaves a flat 3.25% of every donation to Racebeats with the organizer to cover it. Donations to the organizer go to the organizer, who also bears Stripe's fee on them.
7. How Payments Work
Payments are processed by our payment provider, Stripe, using Stripe Connect. Every organization that sells registrations has its own Stripe account, and Racebeats never holds the money.
The organizer is the seller
- When you register for a paid event, you buy the registration from the organizer, not from Racebeats. The organizer is the seller (the merchant of record) for the whole payment, and their business name appears on your card or bank statement.
- Racebeats provides the platform and the checkout but is not a party to the sale. The one exception is a donation you choose to make to Racebeats.
- You enter your card or other payment details directly into Stripe's secure payment form. They go to Stripe and are never seen or stored by Racebeats.
Where the money goes
- You make one payment covering the registration price and any donations. It goes directly into the organizer's Stripe account.
- Stripe deducts its processing fee, and Racebeats receives its share: the organizer's platform contribution, if any, and any donation to Racebeats.
- The rest stays in the organizer's Stripe balance until Stripe pays it out to the organizer's bank account, on the schedule the organizer chooses.
An example
You register for a €40.00 ticket and add a €5.00 donation to Racebeats. The organizer has not set a platform contribution.
- You pay €45.00, in one payment to the organizer.
- Stripe deducts its processing fee from that payment. How much depends on your card and the organizer's country.
- Racebeats receives €4.84: your €5.00 donation, less €0.16 (3.25%) that stays with the organizer to cover Stripe's fee on it.
- The organizer keeps €40.16, less Stripe's processing fee.
If the organizer had set a 2% platform contribution, a further €0.80 would go from the organizer's share to Racebeats. You would still pay €45.00.
Receipts and tax
- After a successful payment, you receive a confirmation email and can download a payment invoice from the History page of your account. It confirms what you paid; it is not a tax (VAT) invoice.
- As the seller, the organizer is responsible for any tax on the registration, such as VAT, and for issuing a tax invoice where the law requires one.
Payments outside Racebeats
Some organizers take payment outside Racebeats (for example, by bank transfer or on the day) or register participants free of charge. Those payments are arranged directly between you and the organizer, without Racebeats or Stripe, and the organizer confirms your registration once they have received payment.
8. Refunds, Cancellations, and Chargebacks
Refunds
- Refunds and cancellations are managed by the organizer, under the organizer's own policy and applicable law. If you need a refund, or your event is cancelled or changed, contact the organizer.
- A refund returns the full amount you paid, including any donations. It is paid from the organizer's Stripe balance back to the card or account you paid with, and usually arrives within 5–10 business days.
- When a payment is refunded, Racebeats gives its share (the platform contribution and any donation to Racebeats) back to the organizer. Stripe does not return its processing fee on a refund, so that cost stays with the organizer.
- A refund can only be made while the organizer's Stripe balance covers it. If it does not, the refund cannot be processed until the organizer adds funds or receives new payments; Racebeats lets the organizer know when this happens.
- If a refund fails after it was sent (for example, because your card has been closed), the money goes back to the organizer's Stripe balance, and the organizer must refund you another way. We will let you know if this happens.
Chargebacks
- If you dispute a payment with your bank (a chargeback), the dispute is between you, your bank, and the organizer as the seller. Please contact the organizer first; most problems can be solved without one.
- When a chargeback is opened, Stripe takes the disputed amount and its dispute fee from the organizer's Stripe balance, and returns the disputed amount if the organizer wins. If the chargeback is decided in your favor, your registration is cancelled.
9. Additional Terms for Organizers Who Take Payments
Payment processing services for organizers on Racebeats are provided by Stripe and are subject to the Stripe Connected Account Agreement, which includes the Stripe Terms of Service (collectively, the "Stripe Services Agreement"). By agreeing to these Terms or continuing to operate as an organizer on Racebeats, you agree to be bound by the Stripe Services Agreement, as the same might be modified by Stripe from time to time. As a condition of Racebeats enabling payment processing services through Stripe, you agree to provide Racebeats accurate and complete information about you and your business, and you authorize Racebeats to share it and transaction information related to your use of the payment processing services provided by Stripe.
Your Stripe account
- You can set up payments for an organization registered in one of the EU/EEA countries Stripe supports. You choose the country when the account is created, and it cannot be changed afterwards.
- You set up and manage the account inside Racebeats, in your organization's payment settings, through Stripe's embedded tools: onboarding and identity verification, business and bank details, payments and chargebacks, balance and payouts, Stripe's notices, and the documents Stripe issues to you, including the tax invoices for Stripe's fees. There is no separate Stripe dashboard.
- The verification details you enter go directly to Stripe. Stripe may ask for more at any time and may pause payments or hold payouts until it receives them.
- Your events can take card payments once Stripe has enabled your account.
Payouts
- Payments land in your organization's Stripe balance. Stripe pays them out to your bank account on the schedule you choose in the payment settings (daily by default), and you can also pay out manually. New payments become available for payout after a short holding period set by Stripe.
- Racebeats never holds your money. Apart from receiving its share of each payment (section 6), the only money movement Racebeats starts on your Stripe account is a refund under section 8.
Your responsibilities
- Decide your refund and cancellation policy, tell participants what it is, and handle refund requests. Refunds are issued from the participant management page in Racebeats rather than in the Stripe tools, so that every refund is a full refund and returns Racebeats' share to you.
- Keep enough money in your Stripe balance to cover refunds. If it falls short, you can add funds in the payment settings.
- Respond to chargebacks in the payment settings before Stripe's deadline. As the seller, you are the one who submits evidence, and an unanswered chargeback is usually lost.
- If your balance becomes negative (for example, after you lose a chargeback for money that was already paid out), Stripe may automatically debit your bank account for the difference so that your payouts are not paused. Racebeats switches this on for every organizer account.
- Determine, collect, and pay any taxes on your registrations, such as VAT, and issue tax invoices where the law requires.
- Comply with Stripe's terms and with the laws that apply to your sales, including consumer protection law.
We may suspend paid registration for an organization that breaches these Terms or Stripe's terms, or whose Stripe account Stripe has restricted.
10. Activities, Results, and Fair Play
To keep competition fair:
- Only activities recorded with Strava count toward event results.
- Manually entered Strava activities (typed in by hand, without device or GPS data) are excluded from competitive results, and trainer or virtual activities may be flagged.
- Result verification uses activity data, including GPS location and its proximity to the event, to help confirm that a result is genuine.
- You must not upload falsified activities, or impersonate or misrepresent your identity.
11. User Content and Conduct
You may post comments, contribute to event news, and submit bug reports. Public comments are visible to everyone, including non-registered visitors, and are moderated:
- Offensive, harmful, illegal, or otherwise inappropriate content will be removed.
- Admins may remove any content at their discretion.
You agree not to:
- Submit offensive, illegal, or harmful content.
- Impersonate other users or misrepresent your identity.
- Interfere with the functionality, availability, or security of the platform.
12. Account Deletion and Termination
You may delete your account at any time. When you do, we remove your personal data as described in our Privacy Policy. We may also suspend or terminate accounts that breach these Terms.
13. Disclaimer of Warranties
Racebeats is provided "as is" without warranties of any kind. We do not guarantee:
- Continuous or error-free service.
- Accuracy, reliability, or completeness of data or statistics presented.
All information is for general informational purposes only.
14. Limitation of Liability
To the fullest extent permitted by law, SIA RACEBEATS shall not be liable for any direct, indirect, incidental, or consequential damages resulting from:
- Your use or inability to use the platform.
- Errors, interruptions, or data inaccuracies.
- Third-party conduct or content, including organizers' events, payments, and refunds, and the services Stripe provides.
15. Dispute Resolution
Any disputes or claims shall be governed and interpreted in accordance with the laws of the Republic of Latvia. You agree to submit to the exclusive jurisdiction of Latvian courts.
16. Changes to These Terms
Racebeats reserves the right to update these Terms at any time. Significant changes will be communicated via email or through the platform. Continued use of the platform after changes signifies your acceptance of the new Terms.
